(b) SEO will allocate a serial number to
each Form II for identification and future
retrieval purposes. The serial number
will be constructed as follows:-
1st block Prefix indicating the
category of submissions;
2nd block
Date of receipt;
3rd block
Suffix indicating the

name of the Assessment Team responsible.
(e.g. A/28.9/B1, C/1.10/A2 etc.)
All Form IIs in respect of submissions received on a particular date will be placed in a hard cover folder, with the date or period clearly labelled outside. These folders will be kept in the Monitors' offices in chronological order.
Extracts from all Form IIs on specific subjects (e.g. nationality, land leases, etc.) will be copied to individual subject files to facilitate monitoring of the trend of opinion assessed.

Form II of a particular date can be located in the folder of that date (or of the relevant period).
An index list (in order of registration numbers, and showing the related Form II serial number) will be prepared, reference to which will facilitate the retrieval of Form Is and submissions.
