In his report on GGD the Inspector did not mention the need for Secretarial staff when General Section and Administrative, Legal and Judicial Staffing Section join Hong Kong Department. At present our two sections generate a considerable amount of Stenographic work and it will be necessary to arrange for adequate stenographic facilities to handle their output from the time of the time of the merger. I presume that you will wish to put down a marker for this.

Accommodation

General Section is housed in K270 and I presume that we will remain so accommodated when the merger takes place. Mr Hall and Miss Daw are housed in separate offices, K273B and K274A respectively, Mr Bay, Mr Hiscock and Miss Brown in K273A and their Registry Officer Miss Caven in W81. Both Mr Hall and Miss Daw have to interview senior officials (Governors, Chief Secretaries etc) and therefore they should continue to have separate well furnished rooms (eg comfortable interviewing chairs, carpet etc). The remainder of the Section plus the registry Officer could be accommodated in one room but all three rooms should be close to each other since all the staff need to consult each other regularly.

7. Other matters

In view of the recent circular setting out the need to reduce the supply of newspaper, periodicals and reference books we are endeavouring to identify those which are essential for our sections. DSP.I presume that it will not be necessary to have more than one copy in the Department of those volumes of DSP which are required by individual desk officers and we are at present reducing the number of DSP which we hold.
