Informal meetings and formal evidence sessions

4.

On the basis of the list of individuals and organizations provided by the Committee and the preferred duration of meetings, we have prepared for you

you at Annex B a timetable with details of those to be seen.

a

You will notice that in order to accommodate the Committee's expensive plan for formal evidence, we have proposed to use the major part of the morning of 19 April for that purpose. This would result in 14 formal evidence sessions, each of 45 minutes. As regards informal meetings, we feel that it is probably over-ambitious for the Committee to plan to get out to meet many people in the afternoon of 18 April after the morning visits, Normal traffic conditions in Hong Kong will

will act as further limiting constraint in this regard. If the Committee have no strong

strong views, we would propose to make

make available the ante-chamber of the Executive Council for most of the informal meetings. The ante-chamber consists of a lounge and a small but comfortable conference IOOM, which will

ideal for the Committee to meet people separately in two groups. However, as both the Commander British Forces and the American Chamber of Commerce are located in

are located in Central, we feel that the Committee may wish to call on them and have therefore included these calls in the programme.

6.

Incidentally, we would like to know the status of the Annexe to your draft programme. A few organizations are not familiar to us, e.g. 1997 Concerns. Has the Annexe been drawn up on the basis of approaches to the Committee by the organizations, groupings and individuals concerned? We presume that some of them have, and some have not approached the Committee. but wonla be grateful for clarification.

In any case, we suggest that the Committee should send invitations with suitable introductory paragraphs to those who will otherwise receive them "cold".

AS regards

arrangements for issue of invitations, we are afraid that we can at best act as a postbox timetable is finalized, the invitations should come from Committee.

We assume they would be signed either by the Chairman or one of the Clerks. For members of the Executive and Legislative Councils, the invitations should be sent to OMELCO (FAX No. 10-852-5-8452444) for the attention of the member concerned. For other persons, upon your confirmation of the status of your invitation list (para 6 above), we will endeavour to send you their fax numbers, if available, to facilitate your issue of formal invitations. Failing that you could fax to us

and we will forward.
