RANKING CRITERIA FOR THE PERSONAL SECRETARY RANK
A Personal Secretary is required to provide a secretarial
service for one or more officers on points D2 (or DJL 2) to D5 (or DJL 3) on the
Directorate Pay Scale and for officers in specially designated posts including
typing and shorthand
transcribing from a dictaphone or tape recorder
proof-reading typed copy
inserting and numbering faired enclosures in the files.
entering details of faired enclosures on the minute sheets of files
drafting routine correspondence in accordance with guide lines
laid down by the principal(s)
answering telephone calls, dealing with enquiries and taking messages
receiving visitors
arranging official appointments and social engagements
booking transport
controlling files and documents

deputise for a Supervisor of Typing Services.
"Specially designated posts" will be designated by the Secretary
for the Civil Service. He may be advised, if appropriate, by the Secretary
for Security.
