5. PERSONAL SECRETARY GRADE
(1) Present Grade and Rank Structure

The Personal Secretary grade is structured
there are three non-functional ranks of
Personal Secretary II (S4: $1,405 2,440) Personal Secretary I ($5: $2,580 - 3,000)
Senior Personal
Secretary
($6 : $3,310 3,650)
with ratio promotions which are presently 5:4:1
(Note: direct entry to Rank I may be approved exceptionally to fill posts designated for overseas officers)
Personal Secretaries are required to have,
(i) five subjects including English Language
(Syllabus B) at Grade E or above in the Hong Kong Certificate of Education, or equivalent;
(ii) a shorthand speed of 100 w.p.m. and a
typing speed of 40 w.p.m.; and,
(iii) three years' approved secretarial
experience or two years' Government service in the rank of Shorthand/Audio Typist;
Personal Secretaries undertake normal secretari al duties including shorthand, typing, transcribing from a dictaphone or tape recorder, answering telephones, receiving visitors, arranging appointments, dealing with files and routine correspondence;
Personal Secretaries II receive one additional increment for
(i) each 10 w.p.m. shorthand/typing speeds
in excess of 100 w.p.m. and 40 w.p.m. respectively; and,
(ii) each year's recognised secretarial
experience in excess of the minimum requirement.
(2) Proposed Grade and Rank Structure

in respect of ranks,
(i) there should be two functional ranks - Personal Secretary and Senior Personal Secretary;
