ROYAL VISITS OVERSEAS

CHECK LIST FOR COI PUBLICITY

GENERAL

Publicity aids available from COI fall into a number of categories and timescales. as follows:

1. Build-up publicity in advance of the Royal Visit

2.

Material for use during the State Visit and

3. Follow-up feedback from the post res, onsible to FCO/COI.

Broadly, these are

i.e., it is for the post to Most media are involved, and the COI services are entirely responsive specify succinctly what is needed for local consumption and the COI will go to all reasonable lengths to meet local demand subject to FCO go-ahead. Where material tends to be expensive FCO/COI will need a fairly firm assurance that it can be placed with either the local media or supplied direct to the public (eg via schools, clubs, commercial or other organisations).

It is important that all correspondence involving the production of publicity material be copied to Guidance & Information Policy Department, FCO, to enable COI to obtain early clearance.

★ (a) Would it help if FCO sponsorship were sought to invite a very few senior

and responsible journalists to Britain for a week or so, to enable them to min "royal background" and write about the Royal Family in Britain's constitutional institutions?

(b) COI holds a number of feature articles in stock about the Royal Family.

Additional features can be commissioned if necessary. Could you place any of these in the local Press? If you think you can, please specify the type of feature you want and state the level of readership to be catered for (eg. popular, fashions, the meaning of "reigning" as opposed to ruling etc). All these are useful to build up interest before the Royal Visit.

(c) It is sometimes useful for posts to receive brief news items by telex during

the two or three weeks before the Royal Visit giving The Queen's engagements.

(a) Have you any outlets? If so, please state whether you want a profile of The

Queen and The Royal Family, the duration and the language.

(b) Would a tape of the National Anthem "God Save The Queen" be helpful? Please

state the number required.

(a) There is quite a lot of footage available in London showing the various

activities of The Queen and Royal Family. Could local stations and circuits use any of this for separate showings or for cutting-in to local magazine programmes?

(b) A few years ago the BBC produced an excellent documentary based on the typical

activities of the Royal Family during a calendar year. Would you like COI to negotiate for rights to show? Please state whether this should be theatrical, television or non-theatrical?

(c) Could you use any TV stills showing Royal Palaces, Royal activities etc? If so, state whether you want prints, transparencies or slides (colour or B/W)
