Booking Procedure for Wan Chai Sports Ground

(a) Upon receipt of an application from an eligible organization, a check will be made to confirm that the criteria laid down in the Urban Council policy are met and that the ground is available on the date applied for

(b) A letter, as attached at Appendix A, will then be sent to the applicant together with a standard application form (attached at Appendix B). The conditions for the use of this ground are clearly stated in the letter

(c) The applicant will have to return the application form, duly completed, to the Regional Headquarters within 14 days from the date of the letter to inform the department what equipment and apparatus will be required for use during the meeting.

(d) The Regional Headquarters will calculate the total hiring charges of the equipment and apparatus required by the applicant and a demand note will be issued.

(e) A confirmation letter approving the use of the ground will be sent to the applicant (sample attached at Appendix C) after payment has been made and this letter has to be shown to the groundsman on the day of use

Booking for the exclusive use of Athletic Tracks at Wan Chai Sports Ground

I refer to your application dated ... to inform you that the Wan Chai Sports Ground have been reserved for you on the following date(s) and time(s):-

Please advise me of the arrangement for controlling your participants and spectators in the use of the ground.

The following conditions of use should be observed:-

(a) This is a synthetic track and due care must be given for its use to avoid damage;

(b) Only 5-9 mm spikes or rubber shoes are allowed on the track. Persons wearing longer spikes will be refused access. This condition should be printed prominently on the front page of the programme in both English and Chinese;

(c) Smoking is not allowed on the track;

(d) Use of petroleum products are strictly prohibited;

(e) No glasswares are allowed to be brought on to the track;

Competitors should strictly observe the ground's rules put up at conspicuous places and instructions given by the ground staff.

NON OBSERVANCE OF THE ABOVE CONDITIONS WILL RESULT IN OUTRIGHT CANCELLATION OF THE USE OF THE GROUND
