373. It is recommended that the register C.S.33 should be abolished and proof of delivery, when required, obtain from the chit book or schedule.
Visible edge index.
374. It is recommended that the "Roneodex" now in use should be withdrawn as all file transit records should be entered on the numerical index described in the previous chapter.
File coding.
375. This registry now endorses a file cover with an abbreviated file title as well as the full subject title. This abbreviated title or code is also recorded on the visible edge index against the file number.
376. It is recommended that the use of a code or abbreviated title should be abandoned as it serves no useful purpose.
Record of files sent to Departments.
377. The transit of files is recorded in the usual file transit record and also in a duplicate record with each file recorded under the name of the receiving Depart- ment.
378. It is recommended that the transit of files should only be recorded once on the numerical index.
Endorsement of chit books.
379. When this registry requires the Receipt and Despatch section to deliver mail by messenger or motor service they prepare a chit book which is receipted by the Receipt and Despatch Section who also prepare entries in another chit book or de- livery schedule and endorse the original chit book with the schedule number.
380. It is recommended that the Confidential Registry should either dispense with their chit book or it should be used for delivery purposes by the Receipt and Despatch section. The Confidential Registry chit book entries which are to be delivered by the motor despatch service should be receipted by the Receipt and Despatch section but not endorsed with the delivery schedule number.
Staff reductions.
381. It is recommended that when the simplified procedures are adopted and operational experience gained, the present staff of the registry should be reduced by two assistants.
