Please find attached the schedule of Ministerial visits to/from countries in your geographical area. It is corrected to 31 December on information received in Protocol Department. should be grateful if you would arrange for desk officers to bring the schedule up to date and return it by 18 December for inclusion in the January schedule. I regret that, due to printing deadlines, any returns received after this date will not be included in the following schedule. Visits due to be completed before 1 January 1992 need not be included. Please ensure that entries are legible (ie typed or in block capitals) and that theys are set out in alphabetical order of country.

All inward and outward visits by Heads of Government and Ministers, outward visits by the Lord Mayor of London, the Speaker of the House of Commons and inward visits by members of foreign Royal Families should be included. (Royal visits overseas to be dealt with by Royal Matters Unit). Confirmed visits should be listed irrespective of timescales but possible visits should only be listed up to six months ahead. The status of the visit should be recorded under one of the following three categories only:

arrangements/dates of visit agreed by both the
(ii) Possible - visit likely to go ahead but final arrangements/dates not yet confirmed
(iii) Tentative visitor
visit suggested but not agreed by host or
The background of the visit should be recorded in the column headed "Purpose of Visit". Special attention should be drawn to visits that are wholly or even partly trade related. This is intended primarily to show in a word (or two) the nature of the visit and should also include any of the following catagories:
