ADMINISTRATION VOLUME 4 SECTION 5

AUS TRAVEL BUDGETS

-

INSTRUCTIONS

CHAPTER 2

ANNEX 2.10A

Background

1.

The AUS travel budget scheme was introduced in 1983 when the authority held by PSD to approve certain duty travel was delegated to AUSS. PSD's role in this area is confined broadly to calling for and collating AUSS bids, and notifying individual budget holders of their allocations as determined by RMD. Recording of actual expenditure incurred is undertaken by Finance Department.

2.

Each AUS budget holder has financial responsibility for duty journeys:

a) to overseas Posts/countries by him/herself and staff under

his/her command;

b) to the UK by Heads of Post and their staff for consultations and to attend official meetings. The appropriate AUS budget is reponsible for all costs (eg taxis, hire cars, subsistence etc) incurred in the UK on such duty visits to the UK, which includes the recall from Post in connection with State Visits;

c) by posts to other countries outside their area of

accredition, unless covered by posts' regional travel discretion.

Prioritisation of bids

3. The overall amount of cash available for AUS travel budgets is limited, and it is rare that bids from budget holders can be met in full. AUS budget holders should therefore submit details of projected expenditure in order of priority - necessary and

desirable to enable RMD to allocate funds in as equitable a way as possible.

Timetable

4.

PSD:

a) issue a call for bids at the beginning of February each

year;

b) collate bids in the first half of March and pass to RMD;
