Travel
Travel to and from the country and between major cities will be booked by the Committee staff from London. Local transport for the Committee's meetings in a particular city should be arranged by the posts, as economically as possible. If official cars are not available, a minibus will suffice. firm estimate of total cost of such transport should be sent to the Committee staff as soon as possible, and before the visit takes place.
Interpretation
If interpretation will be needed for any of the meetings, posts should make arrangements for a local interpreter. If this involves expenditure attributable to the Committee, Committee staff should be told as soon as possible the sums involved.
Subsistence
Members will be provided with funds in advance to enable them to pay all hotel bills and personal expenses during the visits. No arrangements need to be made by posts to provide Members with subsistence.
Organisation of the visit
Organisation of the visit within each country will be left entirely in the hands of the post concerned. No direct arrangements will be made by Members or Committee staff for official meetings. Within the time parameters, the local organisers should have discretion to arrange the meetings in the order that they think best.
The Committee staff will be happy to discuss with officials direct any aspect of the arrangements for the visit and the programme. Ms Lynn Gardner, the Assistant Clerk of the Committee, should be the first point of contact. Her telephone number is 071 219 5778, Fax No. 071 219 6606. She will be concerned particularly with the content of the programme and may be able to give advice on what Members might prefer in terms of meetings, people to talk to etc. in the course of their visit.
Yours sincerely,
Andrews Kennon
