1. You asked for a note of the arrangements for the London plenary of the JLG on 25-28 September and what action is being and will need to be taken by the Department.
VENUES

The JLG meeting will be held in the India Office Council Chamber which has been booked for the four days in question. K123 has also been booked as a conference room for the Chinese delegation.

In addition we need to book a room for the preparatory meetings of the UK team and a conference room for them during the talks (now that the AUS no longer heads the UK side, we cannot use his room as we have in the past).
Action: Ms Usher to investigate availability of rooms and make a
booking (a room near to HKD would be most suitable eg. WH245).
TELEGRAMS AND PAPERS
4.
You suggested obtaining trays for the Hong Kong team to ease the distribution of telegrams and other papers. We also need to ensure that we have enough briefing folders for the British side.
Action: Ms Usher to consult HESD.
Other furniture and stationery arrangements can wait until nearer the time.

Action: I shall minute to the Accommodation manager, HESD, concerning arrangements for the India Office Council Chamber ten days before the meeting. As soon as we have the names of both delegations I shall ask the Document Reproduction Centre to provide name-plates.
CATERING
6.
We need to make arrangements with the canteen to provide tea and coffee during the JLG meetings and sandwich lunches for the UK team and sandwich as appropriate. Although this can be organised much nearer the time I shall be asking the Restaurant Manager for an estimate of the cost, as this will have to be covered by the HKD entertainment budget.
