34. We were told that the Head of registry was departmental machinery officer. We therefore checked the departmental machinery record with her. She was, however, unaware that she was departmental machinery officer for HKIOD as well as FED. We recommend that the Head of department should formally delegate his responsibility to her in accordance with DSP 20, Section 3.2(a) and ensure that she reads the sections about office machinery in DSP 20.

35. We have the following comments on the departmental machinery: -

(a) we recommend that Imperial 70 manual typewriter

nn. 7A 37078 and Olympia electric typewriter no 27 953670 should be added to Supply Section's list;

(b) Olympia SG 3 manual typewriter no 7-2023485 is

badly in need of repair. We recommend that the departmental machinery officer should ask Supply Section to repair or replace the machine;

(c) ASD records show the department as having two audio machines - Philips 139939 and Grundig L 439676. The Grundig has been signed for on the list, seemingly by Mr Boyd of FED, but we were unable to get access to check that he had it.

We recommend

(i) that the departmental machinery officer

should check and inform Supply Section of the whereabouts of this machine

(ii) that the Head of department institute

a search for the Philips audio machine and Imperial 70 typewriter no 7A 09908 and if they cannot be found report their loss to Supply Section in accordance with DSP 20 Section 3.4(b).

36. We recommend that the departmental machinery officer should in future maintain a standing record of the machinery in the department and record all movements and that the Assistant should remind all staff of the need to keep her informed.
