We discussed the extra tasks which will need to be done next
TELEGRAMS
2. We should receive 19 extra sets of telgrams which should be sorted into the trays in WH305. On the days of the meeting (25-28 September) this will have to be done by 8.30am at the latest which will mean picking up the telegrams early. On 24 September they should be sorted into the trays by 9.30am.
ROOMS
3. I strongly recommend that you all make sure you know how to get quickly between HKD, the Locarno Room and the India Office Council Chamber. Someone should check by 8.30am each morning that the rooms are laid out properly for the meetings and if not (heaven forbid) get the office keeper to sort it out quickly.
4.
There may be a certain amount of clearing up to be done at the end of each day in the conference rooms (particularly after the drinks party on Tuesday). I should be grateful for your assistance with this.
CANTEEN
5. Mr Fisher has agreed to liaise with the canteen as necessary to make sure that they produce what we have ordered on time. This may involve serving coffee during the meeting.
Mr Fisher is obtaining 20 cups and saucers for the British team to use during their meetings in the India Office Council Chamber.
ESCORTS
6.
There will be a need for at least one of you to meet the arriving Chinese delegation in the FCO courtyard and escort them to the Locarno Room. You should be on standby throughout the day for other jobs of this kind.
OTHER
7. There will be a considerable extra burden throughout the week in terms of photocopying telegrams and speaking notes as well as other paper work. This may well drag on quite late, so you should not expect to leave early!
