ADMINISTRATIVE ARRANGEMENTS
LAST PAPER
1. With the merger of the General and Administrative, Judicial and Legal Staffing Sections of G&GD with HKD the following arrangements will apply.
Departmental Security Officer (DSO)
Mr David in Hong Kong Section will be the DSO for the whole department. Individual Sections will be responsible for checking their own rooms in the evenings and for drawing up their own rosters for this purpose.
Departmental Machinery Officer (DMO)
Mr Gething, the Head of Registry will be the DMO. Since the department's accommodation has not yet been consolidated, it is important that each section should co-operate fully with the Head of Registy in ensuring that a proper record is kept of the whereabouts of office machinery.
Nominated Leave Officer (NLO)
Miss Leblanc, the section clerk in General Section, will be the NIO for the whole department. She will be responsible for ensuring that individual E7 leave application forms are maintained and submitted, as necessary, to POD, and for reporting sick leave to Pay Section monthly. Miss Leblanc will also maintain a leave chart for the whole department but it might be useful if individual sections were to continue to keep their own charts.
Applications for leave should be submitted to Heads of Section in the case of General and Staffing Sections and to Mr Duffy in the case of the Hong Kong Section. Heads of Section should please consult me about their own leave plans and in doubtful cases.
Weekend Duty Officer
Members of the department at Grade 9 level and above will take turns as duty officer. The officer on duty should familiarise himself/ herself at close of play on Friday with any matters concerning other Sections that may arise over the weekend. The Head of Department's PA will draw up the roster.
