Dear Students,

‧Today let's discuss in detail letter writing. There are two types of letters: personal:or infornial, and business or formal. A letter is a very important means of communication. Thus, a letter should be written for the receiver, arid nat for the writer if it is to function as a means of communication:

It is the STYLE and CONTENT of a letter which take first place, but the FORM of a letter is also important to good letter writing. Al though what is the standard" form depends

·very: much on common usage, common features do exist in different varieties of the letter form:

* Having got this general. picture of letters, let's turn to our detailed discussion. I've divided. the discussion into two main parts; the first deals with the letter form, and the second the basic qualities of a good business Jetter.

THE LETTER FORM BUSINESS/FORMAL LETTERS

I. Layout

(a) Indented letter style

Note: Each numbered box indicates

the relative position at which the numbered component fe.g. 3: The date) is piaced.

Its position is indicated in the two figures above. Note that it does not include the name of the sender. It has two .com- mion forms, the indented and the block forms, although the latter is far more common. Moreover, it is now common to use the open style of punctuation, ie, only ( essential punctuation marks (eg. that for an abbreviation or a hyphenated word) are

used in the sender's address → indeed

everything which is outside the body of

The date

: The most common.form is, e.g. 2nd December, 1980, although you may sub. stitute 2 for 2nd and drop the comma after December. Another acceptable form is. December 2, 1980.

Inside name and address (Name, and ad- dress of the addressee)

Remember the name and address of the recipient is included only in a business. letter. Only one fom is used: the block form: If you happen to know the appro- priate head-of-department, address. the letter to him by his official title:

The body of the letter

The paragraphs are all indented (5 10 spaces) in the indented letter style.

In the full block letter style; all typing. lines, including those for the date, the in- side name and address and the complimen- tary closure, start at the left-hand margin.

The complimentary closure/subscription

It must match the salutation and must suit the occasion:

(Note the commas used after the saluta tions and the complimentary closures.) In the USA., the following forms are. more common:

Owing to the fact that not all signa- tures are legible, the name of the signer is typed below the signature, Wonen may add (Mrs) or (Miss) after their name so

Usually the address of a company.is printed on the top of the notepapers. The design varies considerably; and besides the name and address of the firm, its telephone numbers, telegraphic address and tele- graphic code may also be included.

10. References.

Many letter-heads provide spaces for references, eg.

Reference numbers enable easy filing and access to previous correspondence. So if you reply to a letter which includes a re- ference, do quote it in your reply.

11. Subject headings. and Altention headings They help the reader to know at a glance the subject matter of the letter. Although their use is optional, you should use them when (1) your correspondent hirnself; has used one, and (2) when the length of the letter is, or seems to be, cons siderable. Subject headings should be typed two line-spaces below the salutation where. as "attention headings two line-spaces above. Examples:

12. Notation regarding enclosures

If enclosures are inserted with the letter, this is indicated at the lower left- hand side of the letter, (It may be typed just below the identifying initials which indicated who dictated and who trans- cribed the letter.)

If copies are sent to other persons or firms, this tao may be indicated, usually below the notation regarding enclosures,

14. Postscripts.

They are afterthoughts or incidental messages added after the letter is typed and signed. They are preceded by P.S. If an additional one is required, it is preceded by P.P.S. 20

Note that some people might consider it impolite to add a postscript and they'l. rather re-type the whole letter.

Sender's address:

It is done in the same way as in busi– ness letters. Sometimes it may be omitted between close friends or relatives.

The date.

Inside name and address..

It is not necessary here.

The salutation/greeting ::

Many variations can be used, depend-= ing on the relationship between the rèci- pient, and the writer, racial and family. customs, the purpose of the letter, etc. As a general rule, only Christian or first names are used in a letter to a close friend, e.g. Dear Man Keung, Dear Peter, except for older relatives or friends, eg. Dear Father, Dear Mr. Wong (eg. for a teacher):

The body of the letter

:: The indented style is usually preferred although other personal variations may be used.

The complimentary closure

Indeed "Thany possibilities, usually. cordial messages, are present. If it fits the context, then it's all right. Thus à niece. writing to her aunt may use Lots of love, or a boy writing to his pen-pal may write Best wishes.

The signature:

Usually only the first narnes are used. There is frequently no need to. print your name immediately below your signature.

·and add such thing as (Miss). These are based on the assumption that the person you write to know you so well that he or she can recognize your signature.

BASIC FORMAL LETTER

The golden rule of good business jetter writing is to write in such a way that your letters sound as much as possible like good conversation - easy, natural and courteous..

You should pay special attention to the following points before you put pen to paper: (a) Put yourself in your reader's position and think what you would feel if you were to receive a letter of the kind you propose to write. Your letter is meant to be read by. your recipient and not you; so don't write. a letter just with the idea that it will show. bow clever you are; think for the other person...

(b) Make sure you know the aim of your letter; in other words, make sure you know what you are going to do. Don't waste. time on irrelevant material; write only what is needed.

(c) Plan before you write. First jot down all the points you wish to make and then

organize

them in a logical order so that.

the letter will read naturally. Much of the instruction for essay writing is also ap- plicable here.

On the other hand, please check your letter. after you've written it. See to it that its con- tents are accurate and that it is suitable in other aspects, e.g: tone, which are discussed below.. Now let's take a look at the attributes of a. good business letter,

(1) It is written in simple and natural English. (2). It has the right tone, ie, it suits the oc

casion and its purpose..

(3)It is clear and direct, (If possible, use plain.

and familiar words rather than tare and ambiguous ones. Remember the reader does not have all your background. The letter must be clear to hiun, not only to. "you. Ask yourself: Have I presented the facts so they carnot be misunderstood?) (4) It sounds personal, sincere and courteous.. (5) It is written with the "you" attitude. (Cf.

(a) above) (Note that every reader is pri. marily:interested in himself and responds. to a letter which involves him.)

(6) It is not wordy and longiwinded. (Get to: the paint of the letter. quickly. Don't ex- pect your reader to tolerate your wordiness: 't he simply may not have the time to. Ask yourself: Can anything be deleted without losing any of the meaning?) This includes avoidance of redundancy.

(7) It is not monotonous; it includes a good:

variety of patterns and sentence types showing some fiair and style.

(8) It is free of cornmercial jargons.

The above words and expressions are obsolescent in the sense that either their mean. ings have worn out through unscrupulously indiscrimale use, or they do not serve the function of conveying the message clearly and directly to the recipient. The difference be- tween a polite letter and an obsequious letter. lies in the fact that the former will invariably beget appreciation and attention while the latter will only lead to indifference or at worst disdain.
